Agency Appointments
The Appointments section gives your agency a consolidated view of all bookings happening across your provider network. You can monitor session activity, track statuses, and get involved in appointment issues without having to check each provider's individual calendar.
Viewing All Appointments
Go to Agency > Appointments to see a full list of all appointments across your provider network. By default the list shows upcoming appointments. You can switch to a calendar view or filter to see past sessions.
Each appointment record shows:
- Client name and provider name.
- Service type and session duration.
- Date and time.
- Booking status (Upcoming, Completed, Cancelled, No-show).
- Payment status (Paid, Pending, Refunded).
Filtering Appointments
Use the filter bar at the top of the Appointments page to narrow the view:
- Provider — Show bookings for a specific provider only.
- Status — Filter by Upcoming, Completed, Cancelled, or No-show.
- Date range — Focus on a specific week, month, or custom period.
- Service type — Filter by a specific offering.
Viewing an Individual Appointment
Click on any appointment to open the detail view. You can see the full booking record including the client's contact information, the provider assigned, the service booked, and the payment transaction linked to the booking.
Handling Cancellations and Disputes
If a client contacts you with a cancellation request or a dispute about a session, you can cancel or refund the booking directly from the appointment detail view:
- Open the appointment.
- Click Cancel Appointment or Issue Refund as appropriate.
- Select whether to notify the client and provider automatically.
- Confirm the action.

Monitoring No-shows
Appointments where the client did not attend are marked as No-show after the provider marks the session complete without a client check-in. No-show sessions are still billed based on your cancellation policy unless a manual refund is issued.
Appointment Reporting
For a summary view of appointment volumes and trends across your network, go to Agency > Reports. The Appointments report shows session counts by provider, service type, and time period.
